Make sure that the companies have properly formatted phone and address information before you run Association Cleanup. The people who are associated with companies during the process will inherit the formatted information from the companies.
Due to the nature of changes that InterAction makes during Association Cleanup, you must have certain access rights in addition to permission from the system administrator to run Association Cleanup. In addition, the contact or folder you want to clean up must meet certain prerequisites. If these conditions are not met, you will get an error or a warning.
- Errors prevent Association Cleanup from running.
- Warnings allow cleanup to continue, but restrict the actions and options available.
The number of contacts that meet the prerequisites, as well as any warnings, appear in the Association Cleanup - Confirmation dialog box.
Association Cleanup Errors
The following access rights must be met or else InterAction displays an error and does not run Association Cleanup:
- You must have the following access rights to the current folder:
- Edit Company Association (if you choose to process unassociated contacts)
- Add Addresses
- Delete Addresses
- Add Phones
- Delete Phones
- If you are processing unassociated contacts, you must have Add Contact access rights to the Firm Contacts - Companies folder.
- You must have Add Address and Add Phone access rights to the Firm Contacts - Companies folder.
Association Cleanup Warnings
The contacts to be processed must meet the following pre-requisites or else InterAction displays a warning and skips the contact:
- You must have appropriate access rights to the contacts.
- Contacts must be sourced in the folder, not linked in from other folders.
- Contacts must be people.
- Contacts must have values in the Company fields.
For any contacts in a folder or search results that do not meet these requirements, InterAction displays a warning and skips the contact. If you perform Association Cleanup on a single contact that does not meet one of these requirements, InterAction displays a message and does not perform Association Cleanup.
If you try to run Association Cleanup on search results that include more than one folder, you will get an error and the cleanup will not run.
When running Association Cleanup on a large folder, InterAction only processes contacts that are visible in the folder list. Contacts that are filtered out of the folder list using the letter bar are not processed.
