Association Cleanup converts unassociated person contacts into people associated with companies. You can also use Association Cleanup to correct duplicate company phones and addresses for already-associated contacts.
You must have permission to run Association Cleanup. For more information, see Assigning Users Permission to Run Association Cleanup.
Association Cleanup performs three main tasks with each contact to be “cleaned up.”
- Compares the company name for the person to existing companies in the person’s source folder and in enterprise folders to which you have link from access. If an existing company matches, InterAction can automatically associate the person with the company. If no company exists, InterAction can automatically create a new company.
-
Compares each “professional address” for the person to the addresses for the matching company. If the address exists for the company, it can be removed from the person and shared from the company. If not, InterAction can automatically move the address from the person to the company and then share the company version with the person.
A professional address is any address for a person with the type of Business, Business2, or Alternate Business. A professional phone is a phone with the phone type of Phone or Fax and a type of Business, Business2, or Alternate Business.
- Compares each “professional phone” for the person to the phone numbers for the matching company. If the phone exists for the company, it can be removed from the person and shared from the company. If not, InterAction can automatically move the phone from the person to the company and then share the company version with the person.
You can configure Association Cleanup to automatically make changes (such as adding or associating companies), prompt you before making changes, or not make any changes in certain circumstances.
Association Cleanup creates a detailed log of all actions taken during the processing. You can select to save this log on any location. InterAction also generates activities whenever it creates an association between items that do not match exactly. For example, if a person with “Union Chem” in the company name is associated with the company “Union Chemical,” InterAction will create an activity to record the original name (“Union Chem”). See Association Cleanup Log File and Activities for more information.
You can run Association Cleanup on an individual contact, an entire folder, or a search result of a single folder.
