On the first panel of the new contact wizard, you enter name, company, and contact type information about the contact.
[A] Enter the contact’s name information. The company name you enter is used to set the person’s associated company. If the company for the person is not found, you can easily create a new company to which the person is associated.
[B] You can select to source the contact in the public folders or in a different location. Generally, contacts should always be sourced in the public folders. When you select Other List and choose Next, a warning panel appears.
You can select a folder in which the contact will be sourced. The list only displays folders that allow person contacts. In addition, you must have Add Contact access rights to the folder. The list also includes the current folder if the current folder allows person contacts and you have Add Contact access rights to the folder.
If InterAction identifies possible duplicates of the contact you are creating, it displays the following panel:
[A] InterAction searches for potential duplicates. If you are creating a contact that is sourced in a folder other than the Firm Contacts - People folder, InterAction also searches the source folder. Possible duplicate contacts are displayed in this list.
[B] If the contact you are creating does not match any of the existing contacts in the list, select Create a new person contact and choose Next.
[C] If the contact you are creating appears in the list, select the contact and choose Next. If the existing contact is in the Firm Contacts - People folder, InterAction allows you to add the person to folders and mailing lists in the next step of the wizard.
If you entered a company name for the contact, InterAction will search for a matching company in the database.
[A] Choose this option if you do not want to associate the person with a company.
[B] Choose this option to create a new company because the company has not been entered in InterAction yet.
[C] If the company with which you want to associate the person is in InterAction, select the company and choose this option.
When finished, choose Next.
[D] If you choose to create a new company, InterAction displays the New Company Contact dialog box.
If the contact is not a duplicate, enter the phone and address information for the contact in the following panel:
[A] Select the Home tab to enter home information for the contact.
[B] If you choose to associate the person with a company, you can choose which of the company’s phones and addresses you want to use for the person. You can also enter information just for the person, for example the person’s direct phone number.
If you do not associate the person with a company, you can enter a business address in this area instead of selecting an address from the list. You can also enter a new address for the company by choosing New Location.
If the contact is sourced in the Firm Contacts - People folder, InterAction displays the following panel:
[A] You can specify a global salutation and a user-specific salutation. If you are a proxy entering the contact on behalf of another user, that user’s name will appear instead of yours. For more information on salutations, see Salutations.
[B] All marketing lists that allow person contacts and to which you have Link Into access rights appear in the list of marketing lists. For more information on marketing lists, see Using Marketing Lists in the Windows Client.
[C] This list will only display folders that allow person contacts. In addition, you must have Link Into access rights to the folder. Finally, this list contains the folder you currently have open if you have Link Into access rights to the folder and the folder allows person contacts.
The following is the final panel of the wizard:
Select what you would like to do next and choose the Finish button.
[A] To open a specific Contact Details window, select the view for the contact.
Checking Whether a Contact Already Exists in InterAction
When adding a new contact, most users want to know right away if the contact already exists in InterAction. You can do this by typing the contact’s last name in the New InterAction Contact wizard and then choosing Next. If InterAction does not find a match, you can choose Back to return to the previous screen and start entering the contact’s name and company information.
Note that your system administrator may have set up InterAction so that it will perform a partial match rather than a full match on a contact’s name. This means that you can type part of the contact’s last name and then InterAction will search for people whose last names contain the name entered. For example, you can type Ada for the contact’s last name and it will find Adams as well as Adamson.
